Store Receivals

Sending & Returning Consignment Products

The Store Receivals menu is used to record the movement of consignment products — either sending goods to branches (Receive) or returning goods from branches (Return). This ensures that inventory movement is accurately tracked between the supplier and Villa Market.


🔹 1. New Store Receivals (Create Document)

When entering the New Store Receivals page, users must complete all required fields before saving the document.

📄 Main Fields in the Entry Page

Description

Supplier

Automatically displays the logged-in supplier.

Branch

Select the branch receiving or returning the goods.

Date

The transaction date (auto-filled but can be edited).

Product

Select the product(s) to be sent or returned.

SaleQty Previous 7 Days

Displays the last 7 days' sales for reference.


📦 Product List Table

Column
Description

No / PrCode / PrName

Item number, product code, and product name.

Minimum Stock

Minimum stock level set for the selected branch.

SaleQty

Actual sales quantity retrieved from the system.

DeliveryQty

Quantity delivered to the branch.

ReturnQty

Quantity returned from the branch.

AdjustQty

Used to correct stock discrepancies (manual adjustment).

Unit

Unit of measure (piece, pack, kg, etc.).


🔘 Action Buttons

Button

Save

Saves all entered information.

Cancel

Cancels the current entry without saving.

💡 Multiple products can be recorded in a single document The system will update store stock levels automatically based on Delivery, Return, or Adjust quantities.


🔹 2. Editing Existing Records

To edit existing store receival records:

  • Click the pencil icon (Edit) next to the document.

  • The system will open a page identical to the New entry page.

  • Update quantities as needed and click Save.


🔹 3. Importing Data (Excel Import)

You can import consignment receiving/return data using an Excel file.

Steps to Import

  1. Download the Input Form from the system.

  2. Fill in the Excel file with the required fields:

    • DeliveryQty

    • ReturnQty

    • AdjustQty

  3. Return to the Store Receivals page and click Import.

  4. Click Select an excel for upload… and choose the file.

  5. Click Confirm Import Stock to finalize.

⚠️ Important: Only Excel files downloaded from Input Form can be imported. If the file structure is modified, the import will fail.


🔹 4. Import Data Types & Reading Logic

Adjust Stock

Adjusts stock one day backward.

If import is on the 24th → Stock adjusts to the 23rd.

Receive

Goods sent to branch.

System reads only values > 0.

Return

Goods returned from branch.

System reads only values > 0.


How the System Reads Excel Values

Ignored (no action).

0

Adjusts quantity to zero (used for Adjust Stock).

Numeric value

System records the number provided.
